Duplicating Services provides printing, high-speed copying, graphics, composition, binding and related printing services to the staff, administration and faculty of CSUH. The department is responsible for meeting the printing needs of the University within the scope of authority by State laws. Additionally, the Duplicating Services Department is responsible for management of the University Copying Service which includes the coin and card operated equipment throughout the campus.
State Printer
The Office of State Printer has sole responsibility and is the final governing authority regarding all printed material for all State agencies. Blanket permission has been granted by the State Printer for the University Duplicating Services operation to take care of University printing requirements. However, scheduling and equipment limitations sometimes require certain work to be completed by alternate sources. The use of commercial, off-campus printers requires approval in advance of the Duplicating Services Department and processing of a request through the Purchasing Office.
Duplicating Services and Options
Duplicating services generally includes Departmental and University letterhead, #10 envelopes (plain and window), brochures, flyers, memos, pamphlets, posters, NCR carbonless forms, cardstock, classroom materials, etc. Orders for printing on onionskin paper, business cards, and carbon interleaved forms are usually processed to commercial printers. Black ink and red ink are stock ink colors for local printing work, although several other colors are periodically available. Requests for colored printing must allow sufficient time to order specialty inks and, except for very large orders, customer will assumes costs of cleaning presses.
At the present time, equipment in Duplicating Services will not accommodate requests for stock heavier than 110 lb. basis, stock lighter than 20 lb., coated or enamel stock, or stock larger than 11" x 17". In printing on 11" x 17" stock, a 1/2" margin must be allowed on all four sides.
It should be noted that Duplicating Services will make every effort to duplicate and print in the most economical manner possible, consistent with the needs of the department, the capabilities of the equipment and available staffing.
Offset Printing
This method produces the highest quality product by using a photographic negative and metal plate. Cost is contingent upon size and quantity to be printed. Sizes available are 8-1/2" x 11", 8-1/2" x 14", and 11" x 17". Depending upon conditions, the metal plate may last up to 25,000 copies. Metal plates are stored in Duplicating Services for future use and reprints. Departments requesting this level of reproduction may incorporate the use of photographs, line drawings and sketches in the design of brochures, flyers, posters, newsletters and pamphlets. Design assistance is available including composing, typesetting and artwork. Furnished camera-ready copy may be reproduced within seven working days. However, adequate time should be included for the complexities of art preparation, production, and for bindery finishing.
High Quality/High Speed Copying
In lieu of a press, the department frequently utilizes a Xerox 5390 for medium volume, high quality duplicating. It can make single or multiple copies on paper from 8" x 10" to 11" x 17" from various sized documents. It can make enlarged, reduced, collated, one-sided, two-sided, stitched or unstitched copies. We can fold, saddle stitch and trim small brochures up to about 10 pages. We can provide perfect-bound finished copies, with strip binding to compliment the finished product in a variety of colors. Depending on the paper weight used in the finished product, perfect binding is available for books ranging from 15 to 125 pages in length. Paper with weights ranging from 16# to 110# can be utilized. We cannot accommodate coated or glossy stock. The 5390 has excellent reproduction quality with photographs, stats and half-tones. Turnaround time is normally between twenty-four and forty-eight hours from camera-ready copy for short to medium length runs. Large jobs must be scheduled.
Quick-Copy Service
Duplicating Services functions as the University's quick-copy center, offering high quality, rapid turnaround service for volume copying. Rates are fixed and prices include collating, stitching, and your choice of six colored paper options at no extra charge. Please see section VII for additional information.
Composition
Duplicating Services offers composing, typesetting, graphic design and paste-up services to all departments on campus. Enlargements, reductions and half-toning of photographs and line copy negatives are prepared and available for inclusion in pre-press work by our Graphic Artist. Typesetting is primarily used to condense, enlarge and/or improve the overall appearance of printed material. Current equipment allows the operator to change typestyles and size of type from 4 point to 72 point and offers a variety of medium, bold and italic typefaces. Assistance is available for the preparation of the layout and design of printed materials through the graphics artist who may suggest several alternatives which may improve the appearance and/or minimize departmental costs. As always, complex and involved projects may require additional time and cost to process and should be taken into consideration in planning.
Bindery
Duplicating Services is equipped with a combination collator, folder, stitcher that is capable of producing finished booklets ranging from 5-1/2" x 8-1/2" to 8-1/2" x 11". Optimally, for best results, booklets should not exceed 10 pages, including a cover. Due to the nature of this equipment, coated or glossy stock cannot be used either as interior or exterior sheets. Since the equipment does not contain an in-line trimmer, finished booklets will have a neater appearance when additional trimming service is included and total size does not exceed 4-6 pages. We cannot process folded booklets where the cover stock exceeds 70 lb. text weight, the number of pages exceeds ten (including cover), or where the finished size is less than 5-1/2" x 8-1/2" or more than 8-1/2" x 11". In addition to the above, the department offers other special bindery finishing such as collating, folding, stapling, drilling, padding, spiral binding, and special cutting requirements.
Convenience Copiers
Convenience copiers are located throughout the campus, usually on each floor of major buildings. Smaller buildings typically have only a single copier as usage will not justify multiple machines. Nearly all are equipped with document feeders and sorters. All have copicard controllers and thus can be accessed by faculty, staff, and students that have purchased cards. Each major building has at least one copier equipped with a coin box to allow access to those who do not wish to prepay for copies.
Each machine is assigned a key operator who is responsible to take care of the on-site requirements of the machine. This person will load supplies, clear minor jams, and will notify the copier system office (X2274) when repairs are required. When key operators change, the copier system office should be notified so the maintenance technician can schedule appropriate training for the new key operator.
Supplies are delivered around the first of the month to each machine and should be sufficient to allow operation of the equipment through the balance of the month. If usage is particularly high and the supplies are inadequate, please call the copier system office for a supplemental delivery.
Due to the number of machines on campus, a maintenance technician is on campus every morning to respond to calls. Any recurring problem should be reported to copier system staff.
Copicard System, Staff and Faculty
The copier system has implemented a copier control program which utilizes prepaid cards to operate the equipment. The system operates similar to BART cards in that cards are purchased for a specific value (normally 100 or 1000) and as you make copies the value of the card is reduced according to actual usage.
Please protect cards as they have been paid for and the remaining value cannot be recovered if the cards are lost or left in the machine. Do not attempt to alter the card in any way as you may erase the encoded memory and no refunds will be possible. Occasionally, usually as a result of voltage fluctuations or power losses, the controller will not accept a card and will generate a message of "Flagged" or "misread." Should this occur, please return the card to the copier system office to be reencoded with the remaining value. Please keep cards away from magnetic fields as this will also erase the memory on the card. If you wish to identify the card for your department, please write on the card with a permanent marker. Avoid the use of labels or other foreign adhesives.
Replacement cards can be ordered from the copier system on a requisition for storeroom supplies and used cards should be returned on a one-for-one exchange basis. New cards ordered without exchange will be charged an additional $.50 per card.
Copicard System, Students and Staff Personal Use
Students and staff may purchase cards for personal use at the Cashier's Office in the Lobby of Warren Hall, at the Library Copy Center in Room LI 3000, or from the Librarian at Contra Costa. Cards are sold in increments of 100 at a cost of $8.00 per card, thus saving you $.02 per copy over the coin rate and will allow you to use most of the copiers around campus instead of just the coin operated equipment. Cards are also sold in the Reserve Book Room from a vending machine for $5.00 per card for 55 copies (approximately $.09 per copy).

Material Preparation
Preparation of original copy should be made on plain white bond paper as quality impressions and long runs require excellent contrast of originals. Laser printers, new ribbons or one-time use ribbons produce the best results. Margins must be at least 3/8" on all four sides and should be as free from smudges as possible. Copy which has been "cut and pasted" should be accompanied by a xerographic copy. Any hand written notations or symbols should be written in black or red ink to allow for the darkest and sharpest ink density.
Job Submittal
In submitting materials, departments must provide a Request for Duplicating Services Recharge Form #L-900-38 (see Attachment 2), signed by the Department Chair or an authorized person designated by the Department. Duplicating Services personnel are available to assist in preparing these forms.
Duplicating and printing needs should be anticipated as far in advance as possible. Services are provided on a first-come, first-served basis and many departments have scheduled their large jobs months in advance. This long range planning may have a significant impact on the ability of Duplicating Services to handle your requirements promptly.
Quick Copy Service
Duplicating Services operates a quick-copy service to the campus community which includes standardized rates ($.03 per copy for general fund operations and $.035 for affiliated operations). Work is picked up from designated locations in all major buildings and is returned via courier services to the ordering department office within 24 hours. Walk-up service is available in room LI 1124 for small and medium length jobs. Pick-up locations are as follows:

Duplicating Services is a self supported, full recharge operation. Pricing is generally competitive with a cross-section of local, commercial printing operations although it is likely that a search will find some operations higher and some lower in price.
